    Troubleshooting Common Issues

    Can’t Log In

    Check that you’re using the correct email address. Try the Forgot Password link to reset your password. Clear your browser cache and cookies. Try a different browser.

    Invitation Link Not Working

    Make sure you’ve created an account first. The link may have expired—ask your workspace owner to send a new one. The invitation may have been revoked.

    Can’t Upload Files

    Check your storage limit in Settings. Ensure the file isn’t too large for your plan. Try a different file format. Check your internet connection.

    Google Drive Not Connecting

    Make sure you’re the workspace owner. Try disconnecting and reconnecting. Check that you granted the correct permissions. Disable any ad blockers.

    Tasks Not Appearing

    Check if a template was applied to the release. Try refreshing the page. Verify you have the correct workspace selected.

    Notifications Not Working

    Check your notification preferences in Settings. Make sure the notification type is enabled.

  • Templates

    Task Templates

    Templates save you time by pre-defining the tasks for your releases. Create once, reuse forever. Available on Solo plan and above.

    Using Templates

    When creating a new release, select a template to automatically generate tasks. You can also apply a template to an existing release from the Tasks tab.

    Creating a Template

    1. Go to Templates from the sidebar
    2. Click Create Template
    3. Name your template and add a description
    4. Add tasks by phase: Pre-production, Distribution, Marketing, Release Day, Post-release
    5. For each task, set: Task name, Offset days, Required status, Description

    Template Task Offset Days

    Offset days determine when a task is due relative to the release date: -30 = 30 days before, -7 = 1 week before, 0 = Release day, +7 = 1 week after.

    Marketing Activity Templates

    Templates can also include marketing activities that will be added to the Marketing Planner when applied.

    Default Template

    ReleaseLoop includes a default Standard Release template based on industry best practices.

    Frequently Asked Questions

    Account & Billing

    Can I try ReleaseLoop before paying? Yes! The Artist plan is completely free with 1 active release.

    Can I cancel my subscription? Yes, you can cancel anytime from Settings → Billing.

    Do you offer refunds? Contact support within 14 days of purchase for a full refund.

    What happens to my data if I downgrade? Your data is preserved. You may lose access to certain features, but nothing is deleted.

    Features & Functionality

    Can I import releases from another tool? Not currently, but we’re working on import functionality.

    Does ReleaseLoop connect to my distributor? Not directly—most distributors don’t offer public APIs.

    Can I use ReleaseLoop on mobile? ReleaseLoop is web-based and works in mobile browsers. A dedicated mobile app is on our roadmap.

    Is my data secure? Yes. We use industry-standard encryption and secure authentication.

    Team & Collaboration

    Can team members see all releases? Yes, all workspace members can view all releases.

    Can I be in multiple workspaces? Yes! You can create or be invited to multiple workspaces.

    Speed up your workflow with these keyboard shortcuts.

    Global Shortcuts

    ⌘K / Ctrl+K: Open command palette. Escape: Close dialogs and modals.

    Navigation

    G then D: Go to Dashboard. G then R: Go to Releases. G then A: Go to Artists. G then C: Go to Contacts. G then T: Go to Templates. G then L: Go to Calendar. G then S: Go to Settings.

    Actions

    N: Create new (release, artist, etc. depending on current page). E: Edit selected item. Enter: Open selected item.

    Tips

    Use the command palette (⌘K) as your primary navigation—it’s faster than clicking. Start typing to filter results in the command palette. Recent items appear first for quick access.

  • Workspaces

    Understanding Workspaces

    Workspaces are the top-level containers in ReleaseLoop. Each workspace has its own releases, artists, contacts, and team members.

    When to Use Multiple Workspaces

    • Separate labels – If you run multiple labels or imprints
    • Client work – If you manage releases for different clients who shouldn’t see each other’s data
    • Personal vs. Professional – Keep your artist project separate from label management

    Creating a New Workspace

    1. Click your profile in the sidebar
    2. Click Create Workspace
    3. Enter a workspace name
    4. You’ll be the owner of the new workspace

    Switching Workspaces

    Click the workspace selector in the sidebar and select another workspace from the dropdown.

    Workspace Ownership

    Each workspace has one owner who can: Manage billing and subscription, Invite and remove team members, Connect integrations, Access all workspace settings.

    Billing per Workspace

    Subscriptions are billed per workspace.

    Personalized View

  • Searching and Navigation

    Finding What You Need

    ReleaseLoop includes powerful search to help you quickly find releases, artists, contacts, and navigate the app.

    Command Palette

    Press ⌘K (Mac) or Ctrl+K (Windows) to open the command palette. Search releases by title or artist, search artists by name, search contacts by name or company, quickly navigate to any page, create new releases.

    Quick Actions

    The command palette includes: New Release, Go to Dashboard, Go to Releases, Go to Artists, Go to Contacts, Go to Templates, Go to Calendar, Go to Settings.

    Filtering Lists

    Most list pages include filters: Releases (filter by status, search by title/artist), Artists (search by name), Contacts (filter by category, relationship status, genre; search by name/company).

    Sorting

    Click column headers or use sort buttons to order lists by: Name/Title (A-Z or Z-A), Date created, Release date, Last updated.

  • Google Drive Integration

    Connecting Google Drive

    Link your Google Drive to browse and access release folders directly in ReleaseLoop—no need to re-upload files you already have organized.

    Setting Up the Connection

    1. Go to Settings → Integrations
    2. Click Connect Google Drive
    3. Sign in with your Google account
    4. Grant ReleaseLoop permission to access your files

    Only workspace owners can connect Google Drive.

    Linking a Folder to a Release

    1. Open a release and go to the Assets tab
    2. Click the Google Drive tab
    3. Click Link Folder
    4. Browse to select the folder containing your release assets
    5. Click Select

    Browsing Linked Folders

    Once linked, you can: Browse files and subfolders, Preview images and documents, Download files directly, Navigate using breadcrumbs.

    Unlinking a Folder

    Click Unlink Folder to disconnect a folder from a release. This doesn’t delete any files.

    Disconnecting Google Drive

    Go to Settings → Integrations and click Disconnect next to Google Drive.

    Workspace Settings

    Configure your workspace and manage your account from the Settings page.

    General Settings

    View your Workspace Name and Workspace ID (technical ID for support purposes).

    Team Management

    From Settings → Team: View all workspace members, Change member roles, Remove members, Send and manage invitations, Copy invitation links for pending invites.

    Notification Preferences

    From Settings → Notifications: Toggle individual notification types, Control what updates you receive alerts for.

    Integrations

    From Settings → Integrations (workspace owners only): Connect Google Drive to link release folders.

    Account Settings

    Your personal account is managed through your profile in the sidebar: Switch between workspaces, Create new workspaces, Sign out.

    Managing Your Subscription

    Go to Billing from the sidebar to view your current plan, click Upgrade to change plans, or click Manage Subscription to update payment methods or cancel.

    Annual Billing

    Save approximately 17% by choosing annual billing.

    Team Billing

    Subscriptions are per workspace, not per user. When you upgrade, all team members benefit from the plan features.
